What we collect
- Membership application: your name, email, country, city, time zone, languages, practice areas and roles, experience, the games you facilitate or create, your website and social links, the interests you tick, your consent choices and the page that brought you to the form.
- Account: when you sign in with Google we receive your name, verified email and profile picture; when you sign in with an email link we receive your email only.
- Contact form, partnership and press requests: your name, email and message.
- Newsletter: your email, stored only when you tick the optional updates box or subscribe.
- Bug reports sent through the on-page button: your note and the page address.
- Site statistics: pages viewed and buttons clicked, with an anonymous browser id, the page path, the referring site and your country.
Why we use it
- To review your application, issue your Founding Member certificate and contact you about your membership.
- To run your account, hubs and member area.
- To answer messages and send association updates to people who asked for them.
- To protect the forms from spam: we keep a one-way hash of the sender's IP address for rate limiting and do not store the address itself.
- To understand which pages help facilitators find the association.
What becomes public
- Your certificate page opens only through its unique link and is hidden from search engines. You decide whom to share it with.
- The weekly Member Spotlight features only members who ticked the “feature me” option on their application, and each member at most once.
- Everything else in your application stays private to the association team.
Where it is stored and who processes it
- Website and database: our own server in the eastern United States.
- Email delivery (sign-in links, confirmations, replies): Resend.
- Sign-in with Google and Google Analytics 4: Google.
- Domain name system and incoming email routing: Cloudflare.
Analytics and cookies
We use Google Analytics 4 with Consent Mode. Visitors whose browser is set to a European time zone, including the United Kingdom and Switzerland, see a consent banner, and analytics stay off until they accept. Sign-in uses a session cookie that is needed for the member area to work.
Your choices
- Write to hello@gamefacilitators.org to get a copy of your data, correct it or have your application, account and newsletter subscription deleted.
- Members can switch association news on or off in account settings; anyone can also ask us by email to stop updates.
